TERMS & CONDITIONS
Firstly, thank you for considering me to paint at your special event!
Please take a moment to review my ‘Terms & Conditions’. Sorry it’s a bit long!- but there’s lots to cover to ensure clarity for everyone and to make sure your event runs as smoothly as possible.
Should you decide to proceed to book your event, it is accepted that you’ve acknowledged, read and understood all the Ts & Cs- then we’ll be all set to make your booking official – as payment acts as an agreement to these terms.
Please let me know if there’s anything you’re not sure of first though!
Booking Your Event
Please fill out the enquiry form in the ‘Contact Us‘ section and tick the box to say you’ve read the terms and conditions.
I will need to know your event date, time, venue address, how many hours face painting you require, how many children/adults/or both (approx) to be painted.
If I’m available, I will then provide you with a quote and, if neccessary, I will advise you how many hours you would need to book for larger numbers. I can paint approx 12-15 full faces per hour – or more for less detailed designs.
Though I can ‘glitter up’ many more faces for simple glitter designs if booking the Glitter Bar!
*Please note! My MINIMUM booking is 2 hours @£60 per hour for Face Painting or @£70 per hour for the Glitter Bar.
I arrive at least 30 mins beforehand to set up and will be ready to paint from the time booked.
Travel Costs
If outside the 10 mile radius from Consett, then travel time & fuel will be added. Any parking or toll costs in all areas will be added to the booking total.
Extra Time
On the day of your event, if you would like to extend the painting time for extra people (over your original guest total) then, providing I don’t have another event afterwards, I’m more than happy to stay! This will be charged at £30 or £35 per extra half hour or £5 per face for a few extra guests! I kindly ask that all extra costs MUST be paid in full before I leave- either in cash or immediate bank transfer. Please check with me on the day for my availability.
Confirmation
If you are happy to proceed, then 50% of the total is required to secure and confirm your booking.
Please note that this fee is non-refundable, as it ensures your date is reserved exclusively for you and, should you cancel, it partially compensates me for the loss of income from other clients who could have booked for that time slot.
*IMPORTANT! – ALL DATES & TIMES REMAIN OPEN FOR THE PUBLIC TO BOOK, UNTIL THE BOOKING PAYMENT IS RECEIVED! I CANNOT HOLD DATES WITHOUT PAYMENT!
My bank details will be sent to you once you’re happy to proceed.
Once the non-refundable booking payment is paid, then your event date is secured in my diary- and it is taken that you have agreed that you have read, understood and accepted all my terms and conditions.

*Please note! Non-refundable booking payments are not transferable to another date or time.
Settling Your Balance
The remaining 50% of your total is due one month before your event please.
A gentle reminder will be sent a few days prior to this.
Late Bookings:
If bookings are made one month or less before your event, then payment in full is required please.
Cancellation Policy
Naturally, I understand that ‘life happens’ and plans can change! If you need to cancel your booking, please notify me as soon as possible.
- 7 Full Days or More Notice: Only the non-refundable booking payment will be retained.
- Less than 7 Full Days Notice: The remaining balance will be due in full.
This policy is in place because it is highly unlikely that I will be able to re- fill a reserved date on such short notice, resulting in my loss of income. I appreciate your understanding in supporting my small business.
Artist Cancellation
In the highly unlikely event that I must cancel due to an emergency, illness, or unforeseen circumstances, I will notify you immediately. In these cases, all payments—including the non-refundable booking payment—will be refunded in full. Additionally, I will provide a small gift card for the guest of honour as a goodwill gesture for the inconvenience. I will also make every effort to source a replacement professional painter from my network of trusted colleagues to ensure your event is still covered.
*Please note that my liability is limited only to the total amount paid for the booking.
At Your Event:
Parking & Setup Requirements
- Parking: To ensure a punctual start, please advise me in advance if parking is limited- and if so, please arrange for a parking space as close to the venue entrance as possible. This allows for safe and easy loading of my heavy equipment. Please note, that any parking fees or toll charges incurred will be the responsibility of the host and added to the final balance.
- Indoor Location For safety and comfort, I require a well-lit area with sufficient space for my workstation and for people to queue. To ensure clear communication with your guests, please place my station away from speakers, DJs, fire exits, and high-traffic walkways.
- Outdoor Location Ideally, I would require that the shelter/gazebo etc. is provided- or, if I provide my own, I would require an extra 30 mins onto the booking time for set up & take down please.
Equipment & Safety
- Professional Kit: To provide the best results, I only use high-quality, professional-grade paints and materials. For health, safety, and insurance purposes, my kit must not be handled by anyone other than myself. I appreciate your help in ensuring guests respect this boundary.
- The Artist’s Chair I provide a professional high-seated director’s chair with footstool for the best painting position. If a child is too small to use the step, then for safety reasons, I ask that a parent or guardian lift the child into the chair and ensure they are secure before I begin.
Health and Hygiene
To keep the fun safe for everyone, I follow strict industry standards and display my safety guidelines at my station, which all guests must review before joining the queue.
- Skin Conditions For safety reasons, I cannot paint anyone with any visible skin conditions, including, but not limited to- cold sores, conjunctivitis, open wounds, eczema, psoriasis, or rashes.
- Illness I am unable to paint anyone who is visibly unwell e.g., runny noses or coughs
- Cleanliness To ensure the queue moves quickly, I kindly ask that faces are clean and “sticky-free” before sitting in the chair please! Dirty faces will have to step aside until cleaned by a parent or guardian please!- as I cannot use up precious painting time to do this and risk some children not being painted within the time booked! Wet wipes are provided and parents are responsible for cleaning their child’s face beforehand which keeps the queue moving, so I can focus on giving children as much ‘sparkle time’ as possible!
- * No food or drink to be consumed in the chair please!
Skin Sensitivities & Patch Tests
Your safety is important to me! I only use the highest quality professional products, but everyone’s skin is different. If you are unsure, have a history of skin allergies or have never been painted before, please ask me for a small patch test before we begin. By choosing to be painted, the guest (or parent/guardian) accepts that they do so at their own risk, and the artist is not liable for any subsequent sensitivity or reaction.
- Artist Discretion: For the safety of all guests, I reserve the right to refuse service to anyone who appears unwell or has a skin condition that may be aggravated by the paint.
- Also, I reserve the right to refuse anyone who is rude, aggressive, abusive or acts in a threatening or intimidating way towards myself or others- this will not be tolerated!
Children in the queue must be supervised by parents or guardians- as I am not responsible for keeping excited children in order- as, by experience, this severely impacts on the time available to paint. I would really appreciate your understanding and cooperation regarding this please!
The Best Experience for Your Little Ones
- Under 3s: To protect delicate skin and comply with my insurance, I only paint faces for children aged 3 and over. Little ones under 3 can still join the fun with a cute design on their arm or hand!
- Happy Faces Only I want every child to enjoy their transformation. If a child is scared or reluctant, I will not force them to be painted. I also ask that parents do not hold children down in the chair or on their lap if they are unwilling- we want this to be a magical memory, not a stressful one!
- Help with the Chair My high chair is great for painting, but it’s quite a step up for little ones! Please be ready to lift your child in and out if they need a hand.
- Sleeping Children While it may be tempting to get a child painted while napping, for safety and hygiene reasons, I won’t paint any child who is asleep. It is essential that the child is awake and aware of what’s happening and is able to sit still during the process. I kindly ask parents not to request this, as I cannot compromise on safety.
- Kindness Matters: To keep the atmosphere sparkly, I ask for kindness from all the guests. Rude or intimidating behavior will unfortunately mean I cannot provide service to that individual.
Supervision & Queue Management
To ensure the best experience for everyone, children in the queue must be supervised by a parent or guardian at all times.
Please note, that I am hired as a painter and not a childcare provider, and I simply cannot manage guest behavior while painting. An unsupervised unruly queue significantly slows down the painting process- so to ensure efficiency and that everyone gets painted, your cooperation in keeping the line orderly- maybe with an appointed queue supervisor- would be greatly appreciated!
Fairness in the Queue
To make sure nobody misses out on the fun, I only paint each child’s face once. If I reach the end of the queue before my finish time, I’d be delighted to add extra doodles or glitter to arms or hands! These bonus designs will be offered to those first in line until my scheduled finish time.
Closing the Line for Private Bookings
Closing a queue is the most challenging part of face painting!- as I hate turning anyone away- but it is necessary to ensure the event concludes on time
My priority is ensuring all allocated guests are painted. If time remains, I may offer additional designs until my scheduled finish time, but may still have to end the line and would appreciate an allocated line supervisor to assist me please! I kindly ask for your understanding that once the line is closed, no further guests can be accepted. I put these systems in place to be as fair as possible to those already waiting. I have a zero-tolerance policy regarding any animosity toward this necessary procedure. I appreciate your respect and understanding in helping me end the session on a positive note!
After-Care & Liability
- Removal To remove face paint, I recommend using warm, soapy water and a soft flannel or sponge. Please note that wet wipes are not effective for removal and can sometimes cause irritation. Any mild staining—which is harmless—can be removed using a small amount of baby oil or a gentle cleanser.
- Staining & Transfers Please note- I am not responsible for any paint or glitter transferred onto clothing, upholstery, or venue equipment such as bouncy castles. I recommend checking with your equipment hire company regarding their face paint policies.
- Eye Safety While I apply glitter away from the immediate eye area, I am not liable should a guest rub glitter into their eyes. If irritation occurs, please seek medical advice
- Additional Information For Corporate Clients
- I would require a member of staff to be responsible for queue management please, to ensure the queue moves swiftly, without incident and to help end the line in advance, to finish at the agreed hour without any animosity. I will gauge the line length and use a “Line Ends Here” marker and may ask the line manager to mark the hands of the final guests in the queue to prevent anyone pushing in or queuing too late.
- I arrive approx. 30 minutes before the start of the event to set up- but should you require me to be there earlier for logistical requirements, then this time will be chargeable- and the same would apply if I couldn’t leave once painting has finished.
- For events of 4 hours or more, I require either 2×5 min breaks or 1×10 min break , which will be included in the booking time- and the line manager will be asked to watch over and ensure the safety of my kit so that it is not touched by anyone!
- For events of 5 hours or more- a 20 min break is required.
- Corporate events do not require a booking payment- as an invoice will be sent with the full amount- which is payable within 30 days.
- Late payment fees of 20% may apply should these terms be breached.
- The above cancellation policy still applies:
- 7 full days or more before event- 50% of total required.
- Less than 7 full days before event- payment in full.
- A copy of my £10M Public Liability Insurance, Risk Assessment & DBS will be provided.
